Administration Executive

Job Overview:

This role is responsible for providing comprehensive administrative support to the business and service units, ensuring the smooth operation of office functions, expatriate housing matters, and coordination of corporate activities. The ideal candidate will be organized, proactive, and able to manage multiple tasks with attention to detail in a fast-paced environment.

 

Job Description:

  • Provide administrative support to business and service units to ensure efficient operations.

  • Manage housing matters for expatriates, including:

    • Liaising with property agents

    • Accommodation search and lease agreements

    • Coordination of pass applications and services

    • Arranging repair and maintenance services

    • Processing rental payments

  • Coordinate and support VIP delegation visits from HQ in Beijing, ensuring high standards of service and hospitality.

  • Oversee the office environment and ensure all facilities and assets are maintained in good working condition.

  • Prepare, monitor, and process monthly invoices and related financial records accurately.

  • Supervise and provide guidance to two receptionists; serve as backup for the reception desk when necessary.

  • Monitor and plan the annual office supplies budget, ensuring cost efficiency and sufficient inventory.

  • Assist in office upgrade projects such as renovations and maintenance, including vendor coordination and project tracking.

  • Perform other ad hoc administrative duties as required by the management.

 

Requirements:

  • Diploma or Degree in Business Administration or a related field.

  • Minimum 3 years of relevant experience.

  • Strong organizational and multitasking skills with keen attention to detail.

  • Excellent communication and interpersonal skills, especially in dealing with expatriates and VIP guests.

  • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).

  • Ability to work independently and as part of a team in a dynamic environment.

  • Experience in managing vendors, facilities, and budgeting processes.

  • Fluency in English is required.

  • Mandarin is an advantage for liaising with HQ in Beijing.
