Receptionist

Job Overview

We are seeking a friendly, organized, and professional Receptionist to be the first point of contact for our visitors and clients. In this role, you will provide exceptional customer service to both internal and external stakeholders, manage phone calls, manage meeting rooms schedules, and support the Administration team to ensure a smooth flow of office operations. The ideal candidate will have strong communication skills, positive attitudes, customer-focused, and the ability to multitask in a dynamic environment.

 

Job Responsibilities

  • Provide front desk reception services, for example attend to visitors, serve drinks to guests, and handle incoming calls.
  • Receive and record all incoming/outgoing mails, local and overseas deliveries and couriers.
  • Maintain the cleanliness of reception area and meeting rooms.
  • Monitor, order and keep track of pantry items and first aid box.
  • Set up meeting rooms as per requirements.
  • Assist in corporate passes issuance, for example staff pass, visitor pass, excursion passes.
  • Assist in visitor registration with the Tower Management.
  • Liaise with the Tower Management on reporting, supervising, and coordinating office repair works.
  • Update office Seating Plans and keep the company portal info updated.
  • Support office maintenance works, for example pest control, carpet wash.
  • Manage corporate gift inventory, including issuance and keeping track of the record.
  • Scan and photocopy documents when necessary.
  • Any other ad-hoc duties as assigned.

Job Requirements

  • Minimum GCE ‘O’ Level
  • Customer service focused and detail oriented
  • Good interpersonal and communication skills, able to interact with people of all levels
  • Professional demeanor and able to multitask in a face-paced environment
  • Good team player with positive working attitudes
  • Proficient in Microsoft Office
