This role is responsible for providing efficient and effective secretarial and administration support to Management Team members. This role is also involved in providing support and assistance on the processing of documents, payments, travel desk management, driver and vehicle co-ordination, housing management, joint venture shareholder liaison, HQ delegation visits, bilingual reporting, CSR and Sustainability support and general administration support. This role requires excellent communication skills, cultural fluency, and the ability to manage multiple responsibilities in a fast-paced environment.
Job Description
Provide secretarial and administration support to multiple Management Team members, including calendars management, meetings arrangements, expense claims processing, filings and retrievals of information and documents, drafting of documents.
Perform document processing as well as payment verification checks and authentication (e.g. invoices, payment approval requests)
Manage the Company driver’s duties including working schedules, overtime claims, vehicle renewals, maintenance and rental payments
Manage and co-ordinate visits from HQ delegations including their participation in business events, and MOU signing ceremonies. These co-ordinations include managing the necessary travel logistics, obtaining required quotations and ensuring compliance with internal processes to ensure smooth execution of these visits.
Draft weekly and quarterly reports in Chinese for submission to HQ.
Oversee and manage the Company’s travel desk relating to employees’ business travel arrangements including flight bookings, ground transportation, hotel reservations, visa applications, overseas data roaming subscriptions, customer gifts preparations. This also includes preparing monthly and annual travel reports, and managing the tendering process for corporate travel agency services.
Oversee the housing arrangements for the Company’s Management Team secondees, including agent liaison, rental processing, housing maintenance services, contracts negotiations and report writing (in Chinese)
Oversee and, where required, co-ordinate the communication and logistics arrangements for engagements with joint venture shareholders including meeting arrangements, documents distributions, site visits arrangements
Assist Corporate Communications with CSR events and the preparation of the Sustainability Report.
Provide general office administration support including photocopying, meeting rooms bookings, stationery orders, name cards printing, filing, mail handling and other administrative tasks
Provide administrative support for ad hoc projects and serve as backup secretary when required
Requirements
Degree in any discipline.
3–5 years of relevant experience in a secretarial or executive assistant role.
Proactive, meticulous, and highly organized with a collaborative and adaptable mindset.
Positive attitude and strong work ethic.
Ability to work independently under pressure and meet tight deadlines.
High level of integrity and resourcefulness.
Excellent communication skills and sound judgment.
Fluency in written and spoken Chinese is required as will be needed to write reports in Chinese and communicate with colleagues from HQ. Familiarity with the Chinese culture will be preferred.
Proficiency in Concur and SAP systems, including good understanding about CAPEX are advantageous.
Attainment of LCCI Level 2 Certificate will be ideal, though not a must.
